Opening at Harry Winston

 
Position: Archivist
Reports To: Estate Jewelry Manager

I. Job Summary:

To centralize, organize, classify, code and manage the Harry Winston archives.  The first goal will be to implement a system that will make the various archives completely searchable through digital media. Once implemented the Archivist will be responsible for maintaining the archives and inputting new information, as well as using the system to provide output to help achieve Corporate goals.   Concurrent with organizing the Harry Winston archives, the Archivist will be responsible for conducting research and providing any other assistance necessary toward the publication of the Harry Winston brand book to be published in 2012.

The archives consist of:

·         Retail Replacement Valuations

·         Invoices

·         Job Books

o   Job Books contain renderings or copied images of jewelry that was actually produced and contain all component information, date of manufacture and stock number

o   Job Books contain the component and total cost of each piece and its tag price

·         Stock Books

o   Stock Books contain the job number and all of the information included in the Job Book (except an image) along with from whom the components or the piece was purchased, the date of manufacture, date of sale, purchasers last name and invoice number

o   Stock Books contain the total cost of the piece

o   Stock Books contain rough diamond purchases and a detailed listing of each diamond cut from the rough

·         Stock Cards

o   Individual card with an image of the piece, a summary of component information, date in stock, a record of where the piece moved for potential sale before being finally sold, purchaser name, date sold and invoice number

o   Stock cards contain the tag price for each piece

·         Gemstone Cards

o   Individual cards used primarily for diamonds and some colored stones and include the weight, quality, date of purchase, gemological report number if applicable, a record of where each piece moved for potential sale before being finally sold, purchaser name, date sold and invoice number

·         Design Archives

·         Press Books

o   Books containing press clippings, photographs, articles and interviews pertaining to Harry Winston and Harry Winston, Inc.

II. Key Duties Responsibilities and Accountabilities:

o   Centralize and Organize the Harry Winston Archives
·         Identify and become familiar with the various Archives
·         Plan a system of codifying the Archives to make them fully functional as a reference tool
·         Work with IT and Systems departments to digitize the Archives and use the coding system to make them completely searchable

o   Manage the Harry Winston Archives
·            Track within the Archive System new designs and finished pieces of jewelry
·            Track within the Archive System significant Diamonds and Colored Stones
·            Document with the Archive System all Corporate initiatives that are relevant to building a continuous history
·            Provide Archival information as requested by Estate, Design, Marketing, Retail and other departments

o   Contribute to the Harry Winston Brand Book
·            Conduct research as required by the Project Manager
·            Outline and summarize information as required by the Project Manager
·            Categorize and collate images as required by the Project Manager
·            Provide any other assistance as required by the Project Manager

o   Job Qualifications
·            College Graduate (Degree in Art History or History preferred)
·            Proficient in Microsoft Extensis Portfolio
·            Ability to conduct research and organize large amounts of disparate information
·            Minimum of three years in a research position
·            Excellent written and organizational skills
·            A general knowledge of the history of Harry Winston and/or jewelry history in general is preferred
